Templates

Quick replies and Meta templates — writing, submitting, syncing and sending them.

Templates live in Settings → Templates. There are two kinds, kept in one list because everything that sends one treats them the same way.

Writing a WhatsApp template

The editor holds everything Meta allows, and checks it the way Meta will before anything is submitted.

  • Category — Marketing, Utility or Authentication. Meta prices and reviews them differently.
  • Header — none, a line of text (with one variable), an image, a video, a PDF, or a location.
  • Body — the message, with variables written {{1}}, {{2}}… Give an example for each; Meta's reviewers read the examples.
  • Footer — a short line under the body.
  • Buttons — quick replies, a website link (optionally ending in a {{1}}), a call button, or copy offer code.
  • Authentication templates add the security notice, a code expiry and a copy-code button.

Submitting for review

Save a template as a draft, or tick submit for review to send it to Meta straight away. A template is only listed as pending once Meta has actually accepted the submission, so the list never shows a review that is not happening.

Its status then follows Meta's decision on its own, usually within minutes:

StatusMeaning
draftSaved here, not sent to Meta yet.
pendingMeta is reviewing it.
approvedReady to send.
rejectedMeta said no; their reason is shown on the template.
paused / disabledMeta stopped it, usually after poor feedback from recipients.
removedNo longer at Meta. Kept here because a workflow may still point at it.

Syncing from Meta

Sync WhatsApp brings in the templates your WhatsApp Business account already has, matched by name and language. Quick replies are never touched, and a template missing at Meta is marked removed rather than deleted.

Where templates are sent from

  • Conversations — the library button next to the reply box.
  • Workflows — the Send a template step, with its variables filled from {variables}.
  • Campaigns — one approved template to a whole audience. See Campaigns.
  • The Send API — by id or by the name Meta approved. See Send API.

A quick reply is sent as an ordinary message — its buttons become reply buttons, its link a link button, its media a media message — and, like any ordinary message, it waits for the 24-hour window.
