Contacts

The contact book, tags and categories, Excel import and export, bulk edits.

Contacts is your address book. It fills itself: everyone who writes to one of your numbers is saved with the name WhatsApp gives, and — when they share a location — where they are. Unlike a conversation, a contact never ages out.

Tags, categories and your own columns

What a contact can hold is up to you, in Settings → Contacts:

  • Tags — as many as you like, each with a colour. Tags are what a campaign audience is picked by.
  • Categories — one per contact: customer, supplier, lead, whatever fits.
  • Extra fields — your own columns, such as a membership number or a preferred branch.

Every contact also has a name, the WhatsApp number, email, address, city, state, PIN code, country and a note. Workflows can read all of it as {party.<field>} and change it with the Update the contact step.

Importing from Excel

  1. On Contacts, choose Import and pick an Excel or CSV file. It is read in your browser.
  2. Columns are matched loosely: “Mobile”, “Phone” or “WhatsApp” all become the number, and so on. Check the matches before going on.
  3. Import. Rows are merged by phone number — an existing contact is updated, a new one is added. Up to 2,000 rows at a time.

Exporting

Export downloads the contact book as an Excel file, up to 5,000 contacts at a time.

Bulk edits

Select contacts — up to 500 at a time — and choose Edit tags & details to add tags, remove tags or set a field on all of them at once, or Delete. Every control in the bulk editor starts as leave as it is, so only what you change is changed.
